A reference letter is a letter of recommendation that is written by someone that is familiar with the individual. It is most effective when the writer is fully acquainted with the person through school, employment or some other relationship. The letter is written to give a favourable image of the person's characteristics and capabilities. Reference letters are normally asked for vital business such as admission to tertiary, institution, applying for work or loan and many other business transactions. It is effective as it is easier to read a letter than to get in touch with the referees by telephone or mail because it eliminates. incidences such as the referee being busy or unreachable. It also gives a benefit to the individual that the letter is concerning whereby the person knows just what the referee has to say about him or her. Instead, if the referees were contacted by phone the person would be clueless of what they disclosed about him or her. A reference letter can be handwritten or typed, but whatever format is used, it must be endorsed by the writer and include his or her contact information in case additional information is needed. Chances are, at some time in your life you may be requested to prepare a reference letter. Here's how to write a successful reference letter. Materials Necessary: 1. Paper Tools Necessary: 1. Pen 2. Computer with appropriate software Instructions: 1. The first thing to do is to gather all the necessary information (such as address, schools attended, any skills gained, etc.) concerning the individual who applied for the letter. If the purpose of the letter is to get work, it may be wise to view the job prerequisite. 2. If you know the person's name to whom the letter will be sent, address it specifically to that individual. If not, use TO WHOM IT MAY CONCERN. 3. Structure your letter in three paragraphs. In the first paragraph, identify who you are writing about and in what relationship you are acquainted with the individual. Indicate for how long and why you believe the individual is appropriate for the job or for entrance. 4. In your second paragraph, state special skills or training that you have witnessed since knowing the person. Explain how these qualifications and skills will meet the requirements of the firm or institution. Share your individual opinions of the individual bearing in mind what the purpose of the letter is. 5. In your third paragraph, point out that you are available to supply any additional information considered essential. You can also include any further belief of the individual. 6. Finish the letter with a complimentary closing. Endorse the letter and again include contact information, your title and organization to establish that you are a reliable reference. 7. Check the letter and amend any inaccuracy. 8. Type the letter and proofread, correcting any inaccuracy if needed. 9. Endorse the letter, stamp if relevant and place in an envelope. Tips: 1. Be certain that you are fully acquainted with the individual needing the letter. 2. Stress crucal points that you want the reader to notice. 3. Use a business letter arrangement such as, a fully blocked letter style. 4. Never mention anything negative about the individual you are commending. 5. Don't be too wordy. Try to be as conscise as possible so that you will end up with a one-page letter. 6. Do not include any unnecessary details for example the person's race, religion or marital status except it is definitely relevant. 7. Exploit action verbs particularly when referring to accomplishments and skills. 8. If you cannot provide a good reference decline to prepare the letter.
